you can have sharepoint to automatically control versions. just need to setup to save 5000 versions… also automatically to notify when the documents change to shoot an email to the people you want

Referring to the page structure, mentioning poor navigation, talking about permissions assignment mechanism etc. and not demonstrating it on the screen...is kind of poor guidance.
